The problem

The cooperative was being run out of binders, Excel files, and Word templates — each one living on a different machine, each one telling a slightly different story.

  • Member records sat in spreadsheets that two people couldn’t safely edit at once.
  • Share certificates and ID cards had to be hand-typed into templates and printed one at a time.
  • Stock, expenses, loans, and vendor ledgers were scattered across four or five separate files.
  • Everything was in Hindi on paper, but English on screen — a constant tax on the staff who actually do the work.

Month-end reconciliations were a manual job. Issuing a single ID card could take half an hour.

The approach

One web app, in Hindi, with a place for every record the cooperative keeps.

  • Built around the staff, not the tech. Every label, button, and prompt is in Devanagari Hindi — the language the team already works in.
  • One source of truth. Members, shareholdings, stock movements, expenses, loans, and vendor accounts all live in the same system.
  • Print-perfect documents. Share certificates and member ID cards generate as ready-to-print PDFs sized to the real card and paper they’re issued on.
  • Right access for the right person. Admins see and edit everything; staff get a focused view that keeps sensitive areas off-limits.
  • Bulk import on day one. Years of existing member data was loaded straight from the cooperative’s old Excel sheets, so nothing had to be re-typed.

The outcome

  • From a folder of files to a single login. The cooperative now runs day-to-day operations from one screen instead of hunting through shared drives.
  • Minutes, not hours. Issuing a member’s ID card or share certificate is now a few clicks and a print.
  • Records the team can actually read. A fully Hindi interface means fewer mistakes and faster training for new staff.
  • A foundation to build on. Reporting, deeper inventory tracking, and a member-facing view are all on the roadmap — the hard groundwork is done.
